What data we collect and why

When you join the Friends of Oakley Wood we ask for your contact details in order to allow us to keep in touch with you and let you know about news and events. Mostly we do this by email, but we ask for your physical address and telephone numbers in case your email address changes, and to help us to understand where our members live in relation to Oakley Wood.

When we send you emails we may also track which were successfully delivered and which were opened. This helps us to ensure that we are reaching you and that the information we are sending you is relevant.

How we store your data

We use MailChimp to manage our membership list and help us to communicate with our members. When you join us your membership details will be securely transferred to MailChimp and stored by them in accordance with Mailchimp’s privacy policy. It’s a big document, but the main point is that the data are stored securely and neither we nor they will sell or pass your data to anyone else1.

MailChimp participates in and has certified its compliance with the EU-U.S. Privacy Shield Framework which ensures compliance with European Union and UK data protection law when transferring data to the USA. So although your data are transferred outside of the European Economic Area, they will be processed in accordance with the data protection principles that are set out in the UK’s Data Protection Act 1998 and corresponding EU law.

Access to your data is restricted to those people who need to be able to access it in order to carry out the activities we have listed here. This means a few members of the FoOW committee who are involved in membership and communication, and some authorised personnel at MailChimp who need to be able to access all areas of their systems in order to keep them running.

Checking and updating your data

Every email that we send to members includes a link to enable you to check and update your profile, and another to enable you to unsubscribe from our members’ mailing list altogether. If you have any difficulty using these you can always contact us.
